Hiring enquiry form. Your name, work email, company, phone number, the roles you are hiring for and any message you write. We use this to respond to your enquiry and discuss how we can support your hiring.

Client onboarding form. Company name and website, contact name, email and phone, company size, roles and headcount required, budget range, engagement type, IR35 status, expected start date and notes. We use this to understand your brief, set up the engagement and source suitable candidates.

Job application form. Your name, email, phone number, LinkedIn or portfolio link, availability, rate expectations, CV link and any cover note. We use this to assess your suitability for the role you applied to and, where relevant, other roles we are working on.

Cost estimator. The role details you enter are used to generate your estimate. We do not ask for or require personal details to use it.

Please do not send us special category data (such as health or ethnicity information) — we do not ask for it and do not need it to place you.

Client enquiries and onboarding: legitimate interests — namely responding to a business enquiry made to us and providing recruitment services to your organisation. Where we have a signed engagement, we also rely on performance of a contract.

Candidate applications: legitimate interests — namely providing recruitment services and putting forward candidates who have asked to be considered for work. Where you ask us to take steps before entering into a contract with you, we rely on that basis instead. You can object to this processing at any time and we will stop unless we have compelling grounds to continue.

We rely on consent only where we ask for it separately, for example to keep you on file for future roles beyond the retention periods below, or to send marketing. You can withdraw consent at any time.

Client enquiry and onboarding records: up to 6 years from our last meaningful contact, to cover the engagement and our legal and tax record-keeping obligations.

Candidate application records: up to 2 years from your last interaction with us, after which we delete or anonymise them unless you have asked us to keep you on file for longer.

Records relating to a placement we made: up to 6 years after the engagement ends, for contractual, tax and dispute-handling purposes.

Prospective employers and clients. If you are a candidate, we share your CV and relevant details with clients we are putting you forward to. We tell you before we do this.

Supabase. Our website database and hosting are provided by Supabase, which processes form submissions on our instructions as a data processor under a data processing agreement.

Professional advisers and authorities. Our accountants, insurers and legal advisers where necessary, and regulators or law enforcement where we are legally required to disclose.

We do not sell your personal data. Where a provider processes data outside the UK, we rely on UK adequacy regulations or the International Data Transfer Addendum to the EU standard contractual clauses.

You have the right to access a copy of your data; to have inaccurate data corrected; to have data erased; to restrict or object to processing (including objecting to processing based on legitimate interests); to data portability; and to withdraw consent where we rely on it. To exercise any of these, email contact@embeddedtalentpartners.co.uk. We will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Access to submissions is restricted to authorised members of our team, and data is encrypted in transit and at rest by our hosting provider.

We may update this notice from time to time. The date at the top shows when it was last revised.
